Reporting to the Controller, this role verifies invoice documentation, maintains vendor accounts, supports payment processing, and collaborates with internal departments to ensure compliance with financial procedures and internal controls. The Accounts Payable Coordinator contributes to the accuracy, efficiency, and integrity of day-to-day accounting operations by maintaining organized records, supporting financial reviews, and Payable Operations</b></div><ul><li>Collect, review, and process vendor invoices to ensure accuracy, completeness, proper documentation, and compliance with Frontiers North’s accounting policies and procedures.</li><li>Verify invoices against purchase documentation and confirmation of goods or services received prior to issuing payments, maintaining appropriate internal controls.</li><li>Enter vendor invoices and payment transactions into accounting software to maintain accurate and up-to-date accounts payable records.</li><li>Prepare weekly payment batches, cheque runs, and supporting documentation for review and approval.</li><li>Coordinate with department managers to obtain required invoice approvals and supporting documentation.</li><li>Reconcile accounts payable records, including vendor accounts and statements, to ensure accurate balances and timely resolution of discrepancies.</li><li>Investigate and resolve invoice and payment discrepancies by communicating with vendors, employees, and internal departments.</li><li>Maintain accurate vendor records and respond to vendor inquiries regarding invoice status, payment timelines, and account information.</li><li>Maintain organized digital records of invoices, approvals, payment documentation, and supporting records to support financial reviews and audit requirements.</li></ul><div><b>Employee and Department Support</b></div><ul><li>Respond to employee inquiries related to accounts payable processes and provide guidance on submitting expense position.</p><p><b>ESSENTIAL DUTIES AND RESPONSIBILITIES</b></p><p>Guest Services</p><ul><li>Welcome guests, process check-ins and check-outs, and complete payment transactions.</li><li>Provide information about local attractions, vendors, restaurants, and events in Churchill, including information on weather conditions, wildlife safety, and transportation options.</li><li>Address guest inquiries, concerns, or complaints promptly and professionally.</li><li>Assign and manage room inventory to support guest arrivals, departures, and operational requirements.</li></ul><p>Administrative Tasks</p><ul><li>Handle reservations via phone, email, or online platforms.</li><li>Update guest records and maintain accurate occupancy and operational logs.</li><li>Complete other administrative and record-keeping tasks accurately and in a timely manner.</li></ul><p>Guest and Staff Shuttle Driving</p><ul><li>Transport guests and staff between designated locations in Churchill using company vehicles as assigned.</li><li>Provide courteous and professional assistance to passengers, including helping with luggage and other belongings as required.</li><li>Operate company vehicles safely and in accordance with traffic laws, Frontiers North policies, and established transportation procedures.</li><li>Complete required vehicle checks and promptly report maintenance, safety, cleanliness, or operational concerns.</li><li>Maintain the cleanliness and general presentation of assigned vehicles and ensure they are ready for scheduled guest and staff transportation.</li></ul><p>Housekeeping</p><ul><li>Clean and prepare guest rooms and assigned common areas in accordance with established housekeeping standards, including making beds, changing linens, cleaning and sanitizing bathrooms and surfaces, vacuuming or mopping floors, emptying waste, and replenishing guest supplies.</li><li>Complete assigned stayover, departure, and room turnover cleaning, ensuring rooms are clean, properly stocked, presentable, and ready for guest arrival within required timelines.</li><li>Assist with laundry, linens, housekeeping supplies, and periodic or deep cleaning tasks as required.</li><li>Identify and report maintenance concerns, damage, safety hazards, or unusual conditions, and handle guest property in accordance with established lost and found procedures.</li><li>Follow established cleaning, sanitation, chemical handling, workplace safety, and PPE procedures.</li><li>Perform housekeeping duties as a regular component of the position based on operational requirements and work assignments.</li></ul><p>Operational Support</p><ul><li>Communicate with front desk, housekeeping, and other hospitality team members regarding arrivals, departures, stayovers, priority rooms, room status, guest requests, and other information necessary to coordinate room readiness.</li><li>Transition between front desk, housekeeping, and other assigned hotel responsibilities based on occupancy, staffing, guest needs, and operational priorities.</li><li>Monitor and report low supplies for guest amenities, housekeeping supplies, toiletries, and office supplies.</li><li>Monitor guest and work areas and report safety, security, maintenance, or operational concerns to management.</li><li>Maintain the cleanliness and presentation of the front desk, lobby, and other assigned guest or common areas throughout the shift.</li></ul><p>Teamwork and Organizational Culture</p><ul><li>Collaborate with and assist other members of the Frontiers North team to achieve organizational goals.</li><li>Maintain open communication and cooperation with other staff to ensure a friendly, collaborative, and efficient working environment.</li><li>Communicate with coworkers using approved messaging platforms such as Slack and established communication protocols.</li><li>Assist in the training and support of new hospitality team members including contributing to the development and maintenance of departmental standard operating procedures (SOPs).</li><li>Participate in cross training to strengthen teams, create more when necessary.</li><li>Attend all pre-shift safety briefings and attend all safety meetings as required.</li></ul><p>REQUIRED EDUCATION, CERTIFICATIONS, AND EXPERIENCE</p><ul><li>Post-secondary education in Hospitality Management, Tourism, Business Administration, or a related field is an asset.</li><li>2+ years of experience in front desk, guest services, reception, office administration, housekeeping, or a similar customer service role is preferred.</li><li>Previous experience working in a hotel, resort, or similar accommodation environment is an asset.</li><li>Valid Class 5 (general) driver’s licence is required; Class 4 (buses up to 24 passengers) is an asset.</li></ul><p>SPECIFIC KNOWLEDGE, SKILLS, AND ABILITIES</p><p>Guest Service and Front Desk Operations</p><ul><li>Strong customer service and interpersonal skills, with the ability to provide welcoming, professional, and attentive service to guests.</li><li>Ability to manage guest check-ins, check-outs, reservations, payments, room assignments, and inquiries accurately and efficiently.</li><li>Ability to respond to guest concerns or service issues professionally and recognize when matters require escalation to a supervisor or manager.</li><li>Ability to develop and maintain knowledge of Churchill attractions, transportation, services, weather conditions, and wildlife safety information relevant to guests.</li></ul><p>Housekeeping and Hotel Operations</p><ul><li>Ability to clean and prepare guest rooms and common areas in accordance with established cleanliness, sanitation, stocking, and presentation standards.</li><li>Ability to follow housekeeping procedures, including the safe use of cleaning products and equipment, handling of linens and waste, and appropriate use of personal protective equipment.</li><li>Strong attention to detail with the ability to identify cleanliness, maintenance, safety, and roomreadiness concerns.</li><li>Ability and willingness to perform housekeeping duties as a regular component of the position based on operational requirements and work assignments.</li></ul><p>Technology, Administration, and Organization</p><ul><li>Ability to use a hotel property management system (PMS), or the ability to learn required systems.</li><li>Ability to use computers and workplace technology, including Mac operating systems, Google Workspace, email, internet-based applications, and internal communication platforms.</li><li>Basic to intermediate mathematical skills with the ability to accurately process payments and complete transaction-related tasks.</li><li>Strong organizational and time management skills with the ability to prioritize multiple responsibilities and complete tasks with minimal supervision.</li></ul><p>Communication, Adaptability, and Problem Solving</p><ul><li>Effective written and verbal communication skills in English.
